Hybrid Events Production Committee Report – April 2024

Friends,

Thank you so much for making the Area 46 April 2024 Assembly a success.  This was the first Assembly the Hybrid Events Production (HEP) Committee produced as a standalone committee. Thanks to the help of committee members online and in-person, it came off great.  At this Assembly we supported 139 people in-person and 82 virtual participants.  I also want to thank those people who are not members of the Committee but who volunteered to help with loading and unloading, setup and teardown, equipment checks, and who gave us valuable feedback while the event was in progress.  

The Committee didn’t meet during the April Assembly as it’s hard to have a meeting while producing an event but we did meet twice in March.  As we had already set aside our standing meeting time to do a dry-run of the Assembly, we also met on March 21st to talk about our assigned General Service Conference (GSC) agenda item so we could provide feedback to our Delegate before she heads off to New York for the GSC.  Going forward, we’ll talk about lessons-learned and evaluate the best cadence for meetings.

We’re still looking for more help!  If you can be in-person at Assemblies (or even if you’ll just be at the next one in District 18), we need to train up a couple of people to help with the tech table so we can rotate folks through over the roughly 20 hours or so that things are running.  It’s fast-paced and a lot of fun but a lot for just two people to handle.
