The Technology Committee Scope
The Technology Committee (formerly the Website Committee) has a large scope of responsibility. The Technology chair the needs support of committee members who can share the burden of responsibility to serve the technology needs of Area 46.
As described in the AIP, the scope of the technology committee includes the all aspects of each item listed below.
(a) Post event flyers for those trusted servants and Districts and Groups that lack the experience, skill, or time to do so.
(b) Edit the meeting schedule for Districts and Groups that lack the experience, skill, or time to do so.
(c) Post the anonymous Area Newsletter, El Farolito, each month when received from the El Farolito Committee. The confidential “Contact List of Area 46 Trusted Servants and District DCMs” is NOT to be posted.
(d) Ensure website is secure, regularly backed up and all tools are updated.
(e) Train servants how to update their assigned web page or post updates for them at their request.(f)Reset login credentials for updating the website throughout the rotation.
(g) Troubleshoot website issues as they arise.
This is done through examination of Google Analytics.
(a) Send email login information to all Area 46 Trusted Servants at the beginning of each rotation.
(b) Train all servants on how to access their webmail or add their Area 46 email account to their devices.
(c) Reset passwords as needed throughout the rotation.
(d) Troubleshoot technical email issues as they arise.
(a) Create a subcommittee that will be responsible for Area 46 technology.
(b) Produce all Area 46 virtual or hybrid events including area assemblies.
(c) Assist committee chairs in creating/holding virtual area committee meetings.
(d) Manage the Area 46 online meeting accounts such as virtual meeting platforms.
(e) Review, recommend and implement other technologies that would provide value to Area 46 as specified by the committee.
Technology Committee Roles
Technology Chair
Like all Area committee chairs, the tech Chair is appointed by the Area 46 Chair and stands for disapproval of the Area Committee. The Tech Chair steers the ship and works to find team members who can carry out some of the required tasks of the committee.
Area 46 Website
Webmaster
The Tech Chair is also the Area 46 webmaster and will make most of the needed changes on the Area 46 website but may designate certain committee members to take responsibility for sections of the website. These are described below.
Meeting Editor
The meeting editor keeps the Area 46 online meeting list up-to-date. All emails that request a meeting change are sent to meetings@dev.aa-nia.org. These emails are sent to the Tech Chair and Meeting Editor. The Meeting Editor will:
- Make changes to the online meeting listing.
- Reach out to the person who requested the change with questions.
- Inform the person requesting changes (and Tech Chair) once changes have been made.
- Manage meeting feeds Albuquerque & Santa Fe Central Offices.
- Works to ensure that district information is included for all meetings so that site visitors can sort by district in addition to city.
Events Editor
The Events Editor posts events to the Area 46 website and approved event submissions. All emails that request an event to be posted are sent to guest-events@dev.aa-nia.org. These emails are sent to the Tech Chair and Events Editor. The Events Editor will:
- Posts events to the Area 46 website.
- Reach out to the person who requested the event with questions.
- Inform the person requesting event listing (and Tech Chair) once the event has been posted.
- Consult with Tech Chair regarding event requests for events outside Area 46.
Website Quality Assurance
The Tech Chair may assign a couple of committee members to periodically check the front-end of the website to make sure the site functions as expected. This would include checking links, reviewing the news section to ensure all entries are reflected in the correct category.
Email Management and Mantenance
The Tech Committee is responsible to the management of all Area 46 emails accounts. Various issues arise throughout a service rotation which require troubleshooting and communicating with our email hosting company. The Tech Chair may designate a committee member to be focused on email management.
Virtual and Hybrid Event Production
A team is necessary to produce an Area 46 event that is either all virtual or hybrid (in person and virtual). The Tech Committee has created template kits that can be used in planning and executing a virtual or hybrid event.
Tech Lead
To lesson the load on the Tech Chair, a Tech Lead is recommended to act as the point person for an event.The Tech Lead is responsible for recruiting and training tech team members to serve during these events. The Tech Lead will also serve as the Zoom host during the actual event. Please refer to the Virtual Event Kit or the Hybrid Event Kit for more information.
